Preventive Maintenance
- The Supervisor will provide the preventive maintenance plan with the number of persons required, works hours needed per skill level and duration of the task to be completed.
- A weekly, monthly, and Quarterly schedule will be drafted giving priority to the possible new work orders to avoid unwanted interruptions.
- The assigned PPMU personnel would give a one-week schedule based on the available hours, job priorities and information as provided in the Maintenance Plan and then to be checked and approved by the Supervisor.
- The schedule must assign work for every available working hour of the personnel and consider the emergencies and high priority tasks.
Corrective Maintenance
- PPMU may commence corrective maintenance resulting from actions recommended by preventive maintenance. Job order requests may be facilitated when necessary by the Office.
- Request for the services needed related to maintenance: building, aircondition, carpentry, electrical, waterworks, motor vehicles and solid waste disposal using the MSRF and is approved by the Supervisor.
- If the equipment for correction needs some materials for replacement, the assigned PPMU personnel would present the MSRF to Supply Office/PPMO for withdrawal of materials needed. However, in case materials are unavailable, PPMU Office recommends the requestor to do a purchase request.
- If the equipment for correction needs replacement due to natural aging, PPMU Office recommends to the requestor and or facilitates the emergency request.
Solid Wastes Disposal
- The BukSU community is encouraged to promote cleanliness in the entire campus and to participate in the proper segregation of solid waste into its proper trash bins.
- The Assistant Supervisor in coordination of the Solid Wastes Disposal (SWD) In-charge prepares the schedule for the collecting and disposing of solid wastes from the trash receptacles provided in the designated areas.
- Personnel from SWD Section shall segregate the wastes as biodegradables, recyclables, hazardous or residuals.
- Waste from science and food laboratories are considered hazardous and shall be requested by the concerned office for disposal.
Facility Use
- PPMU requires all requestors to have a written approval from the concerned University officials and duly approved by the University President.
- Request for booking of facility must be done at least one (1) week prior to use.
- In case the booked activity falls beyond office hours and or weekends, the assigned PPMU personnel will render overtime when necessary.
- In case the facility is fully booked, the requestor is responsible for changing or make adjustments of the schedule or venue.
- In case there are changes of booking schedule, the requestor is responsible for notifying PPMU office, otherwise the said booking may be cancelled.
- External users require approval from the University President and will be imposed with rental rates. Internal users could use the booked facility free of charge. However, in case damages inside the booked facility may have been occurred due to user’s negligence or recklessness, appropriate penalty shall be imposed.
Motor Vehicle Requests
- PPMU requires all requestors to have a written approval from the concerned University officials and duly approved by the University President. Once documents are presented, the requestor fills out the MVURF and to be approved by the Supervisor
- All requests outside of the official station shall have a duly approved Authority to Travel and must be presented to PPMU Office at least one (1) week before travel. However, urgent/emergency trips may be accommodated on a case-to-case basis and upon approval from University officials.
- All requests within official station can be accommodated directly through the Motorpool-in-Charge via landline or mobile phone. There has to be proper coordination with the concerned Head of Office and the PPMU Office. The issuance of the MVURF may no longer be required.
- The Motorpool-in-Charge shall issue a Gate Pass to all drivers of motor vehicles going outside the BukSU premises and is approved by the Supervisor. This pass will be presented to the guard on duty at the exit gate.
- A Gas Slip will be issued by the Supervisor and will be attached to the driver’s trip tickets for travels outside the official station and when needed by the vehicles for refuel. This Gas Slip will be issued only for all motor vehicles and power generator sets of BukSU. However, there may be issuance of gas slips to other motor vehicles subject to the University President’s approval.
- The Office of the President has a standby unit, and a designate driver.
- All special requests such as servicing for a day or two or more within the official station is required to submit a matrix of activities. It should indicate the time and specific activity where motor vehicles are needed for the duration specified in the request. The said matrix should be duly approved by the immediate supervisor and the University President.
